Volodymyr Trokhanovskyi, carrying on business as Volodymyr Coach, is a sole proprietorship based in Winnipeg, Manitoba, Canada, providing individual coaching services.

2. What Personal Information We Collect

We collect only the information necessary to provide coaching services:

• Full name, email address, and city and country of residence
• Optional phone number or messaging contact, if you choose to provide it
• Scheduling preferences and session booking history
• Payment information (processed and stored by Stripe and Wave — we do not retain card details)
• Administrative records, including the Client Service Agreement and the dates and duration of coaching sessions
• Communications exchanged by email or messaging

The Coach may occasionally take temporary notes during sessions for preparation and continuity of the coaching process. These notes are for personal reference only, are not clinical records, and are not considered part of the permanent Client record.

3. Why We Collect It

Your personal information is collected for the following purposes:

• To schedule and conduct coaching sessions
• To process payments and issue receipts
• To communicate with you regarding your coaching engagement
• To fulfil our obligations under the Client Service Agreement
• To comply with applicable legal and professional requirements

By booking a session, contacting us by email or messaging app, or entering into a coaching relationship with us, you consent to the collection, use, and disclosure of your personal information as described in this Privacy Policy and the Client Service Agreement.

We do not use your information for marketing without your explicit consent. We do not sell, rent, or share your personal information with third parties for commercial purposes.

4. Third-Party Service Providers

To deliver our services, we use the following third-party platforms. Each processes your data according to their own privacy policies:

• Calendly (calendly.com) — for session scheduling. Based in the United States.
• Stripe (stripe.com) — for payment processing. Based in the United States.
• Wave (waveapps.com) — for invoicing and payment processing. Based in Canada.
• Google Meet / Google Workspace (google.com) — for video sessions and email communication. Based in the United States.

Please be aware that by using these services, certain personal information is transferred to and processed outside of Canada, including in the United States. These providers maintain privacy and security standards consistent with their respective jurisdictions. We have selected them on the basis of their reliability and compliance commitments.

5. How Long We Retain Your Information

Administrative records, including your name, contact information, Client Service Agreement, and the specific dates and duration of coaching sessions required for International Coaching Federation (ICF) credential verification and tax purposes, are maintained for seven (7) years following the conclusion of the coaching relationship.

Temporary session notes may be maintained during the coaching relationship for preparation and continuity purposes. These notes are temporary, are not part of the permanent Client record, may be deleted at any time, and will be destroyed no later than the conclusion of the coaching relationship.

You may request earlier deletion of your personal information by contacting us in writing, subject to our need to retain records for ICF credential verification, tax, legal, contractual, or other applicable requirements.

6. How We Protect Your Information

We take reasonable precautions to protect your personal information from loss, unauthorised access, disclosure, or modification. These include:

• Use of password-protected accounts, secure passwords, and reputable service providers
• Limiting access to personal information to ourselves only
• Using reputable, security-conscious third-party platforms

No method of transmission or storage is entirely secure. In the event of a privacy breach that creates a real risk of significant harm, we will notify you and the Office of the Privacy Commissioner of Canada as required by PIPEDA.

7. Your Rights

Under PIPEDA, you have the right to:

• Request access to the personal information we hold about you
• Request correction of inaccurate or incomplete information
• Withdraw consent to the collection or use of your information, subject to legal and contractual limitations
• Ask questions about how your information is handled

8. Use of Artificial Intelligence (AI) Tools

Coaching sessions are not recorded, transcribed, or processed by any AI-powered tools managed by the Coach. No session content is recorded or stored by the Coach beyond what is inherent to the operation of the chosen video or communication platform, which is governed by that platform’s own privacy policy.

The Coach may use AI-assisted tools for general professional purposes, such as administrative tasks, document preparation, and professional development. No personal information under PIPEDA — including names, specific personal circumstances, or identifiable session content — will be submitted to any AI tool.

9. Cookies and Website Analytics

This website does not currently use tracking cookies or third-party analytics. If this changes, this policy will be updated accordingly.

10. Changes to This Policy

We may update this policy from time to time. The date at the top of this page reflects the most recent revision. Continued use of our services following any update constitutes acceptance of the revised policy.
